About the Opportunity: Responsible for a new educational project by Vinschool
I. JOB DECRIPTION
1. First & Continual Point of Contact
• Respond to enquiries received via phone, email, website forms, social media, events, referrals and walk-ins within agreed response times.
• Provide personalised advice to parents from first enquiry through enrolment, based on the child’s age, grade, current school, language readiness and parent priorities.
• Explain Verta’s positioning, American pathway, intended grade entry, school readiness, admissions process and required documents using approved messaging only.
• Maintain professional and caring relationships with prospective and accepted families throughout the admissions journey.
2. Consultation, Tour & Visit Management
• Coordinate and conduct parent consultations, school tours, virtual tours, Open Days, assessment appointments and follow-up communication.
• Plan each visit carefully to address family-specific questions and ensure the school experience feels relevant and reassuring.
• Respond promptly to requests for tours or consultations and maintain a clear record of visit outcomes and next actions.
• Ensure admissions meeting areas, tour routes and parent materials are ready and consistent with Verta’s expected service standards.
3. Application, Assessment & Offer Follow-up
• Support application collection, document checking, scholarship interest capture, assessment scheduling and offer follow-up.
• Follow up with families after consultation, tour, application or assessment to move them to the next stage.
• Work with Academic, Finance, Bus/Admin, Student Support and other internal teams to support smooth transition and onboarding for new families.
• Support accepted family communication and orientation activities where required.
4. CRM, Reporting & Pipeline Discipline
• Maintain accurate CRM/lead tracker records, including lead source, campaign, stage, next action, appointment outcome, parent objection, lost reason and conversion status.
• Track the status of enquiries, consultations, tours, applications, offers and deposits to support weekly pipeline review.
• Identify follow-up gaps, stalled leads and parent objections that may affect conversion.
• Support simple admissions reports when required.
5. Marketing Feedback & Competitor Intelligence
• Work closely with Marketing and Digital to provide feedback on lead quality, campaign effectiveness, parent objections and content needs.
• Share parent questions and concerns to help develop FAQs, website content, event topics, comparison content and admissions materials.
• Keep up to date with local school market information, competitor offers, parent sentiment and common decision drivers.
6. Success Indicators
• Consistent SLA compliance and disciplined follow-up.
• High consultation and school tour booking rate from qualified enquiries.
• Clean pipeline management and accurate CRM records.
• Strong conversion from qualified enquiry to application, offer and enrolment.
• Practical parent insights shared with Marketing and Digital to improve content and campaign quality.
II. REQUIREMENTS:
Experience in school admissions, education sales, counselling, customer care or premium service.
• Excellent Vietnamese and English communication skill.
• Strong parent service mindset, resilience, detail orientation and structured follow-up discipline.
• Able to use CRM, Google Sheets/Excel and shared reporting tools.
• Knowledge of the international/bilingual school market in Hanoi is an advantage.
• Comfortable working towards enquiry, consultation, tour, application and enrolment conversion goals.
